What Is UKVI Compliant HR Software?
For any UK business that holds a sponsor licence, ongoing compliance is not optional, it is a continuous legal obligation. The Home Office does not assess your systems only at application stage; it monitors compliance throughout the full lifespan of your licence, and enforcement has tightened sharply. Between July 2024 and June 2025, 1,948 sponsor licences were revoked in the UK, more than double the figure from the year before. With HMRC payroll data now being shared directly with UKVI, discrepancies between what you report and what your payroll shows are flagged automatically in 2026.
Our UKVI Compliant HR Software gives licensed sponsors the tools to manage these obligations efficiently and confidently. Rather than relying on manual spreadsheets or calendar reminders, a purpose-built compliant HR system centralises all sponsored worker records, automates visa and permission expiry alerts, tracks right-to-work checks, and keeps every employee file audit-ready, all aligned with current Home Office requirements. For official sponsor guidance, see Sponsor a worker on GOV.UK.
Purpose-Built for Sponsor Compliance
Built specifically for UK sponsor licence holders, covering Appendix D record-keeping, SMS reporting deadline alerts, and visa expiry tracking all in one system.
Always Audit-Ready
Every sponsored worker file is structured exactly as UKVI expects, so when a Home Office compliance officer arrives, announced or unannounced, you are prepared.
March 2026 Update Ready
Our system is updated to reflect the new March 2026 Appendix D requirement for sponsors to retain evidence that all sponsored workers have been informed of their UK employment rights.
Software alone is only part of the picture. Sponsor licence holders must also ensure their key personnel, particularly the Authorising Officer, Key Contact, and Level 1 Users, fully understand and discharge their legal sponsorship duties. These include reporting specific changes to UKVI via the Sponsor Management System (SMS) within defined timeframes, conducting right-to-work checks for all employees, maintaining detailed personnel records, and monitoring sponsored workers' attendance, job duties, and employment status on an ongoing basis. Failing to meet these obligations, even unintentionally, can result in your licence being downgraded to a B-rating, suspended, or revoked entirely.
Work Permit Cloud supports UK employers across three connected compliance services. Our UKVI-compliant HRMS (WpcHR) is purpose-built for sponsor licence holders. Our Sponsorship Duties service ensures your team understands exactly what the Home Office expects. And our Home Office Compliance Audit preparation service gives you a thorough, independent review of your HR records and processes before a UKVI inspection takes place, announced or unannounced.
For the full official framework of sponsor obligations, read the Workers and Temporary Workers: Sponsor Guidance Part 3 on GOV.UK.

FAQ
Common questions
What is UKVI compliant HR software?
UKVI compliant HR software is a purpose-built HR system designed to help UK businesses that hold a sponsor licence meet their ongoing Home Office obligations. It centralises sponsored worker records in line with Appendix D of the sponsor guidance, automates visa and permission expiry alerts, tracks right-to-work checks using the eVisa online service, and maintains audit-ready files for UKVI compliance visits.
Do I need specialist HR software to hold a UK sponsor licence?
Not in the strict legal sense, but generic HR systems not designed around the Home Office's specific Appendix D requirements create significant compliance risk. Records held in spreadsheets or standard HR platforms are frequently incomplete or not structured as UKVI expects, which is one of the most common reasons for sponsor licence suspensions and revocations.
What sponsor licence duties must my HR system support?
Your HR system must support four core areas: (1) Appendix D record-keeping for all sponsored workers, (2) SMS reporting deadlines (10 and 20 working days for different events), (3) ongoing monitoring of workers' visa status and salary compliance, and (4) right-to-work verification using the eVisa online checking service. The March 2026 sponsor guidance update also requires evidence that sponsored workers have been informed of their employment rights. See our Sponsorship Duties page for full detail. For official requirements, read the Sponsor Guidance Part 3 on GOV.UK.
How often does the Home Office carry out sponsor compliance visits?
UKVI compliance visits can take place at any time and are normally unannounced per Home Office guidance. The frequency has increased significantly: 1,948 worker sponsor licences were revoked in the year to June 2025, more than double the previous year. Any employer holding a sponsor licence should treat audit-readiness as a continuous obligation. Our Home Office Compliance Audit preparation service can help you prepare.
What happens if my sponsor licence is revoked?
Revocation of a sponsor licence is severe: all active Certificates of Sponsorship are cancelled immediately, sponsored workers have their visas curtailed to 60 days to find a new sponsor or leave the UK, and the organisation cannot apply for a new licence for a minimum of 12 months. There is no right of appeal; only Judicial Review is available. See our Sponsor Licence Suspension page for further detail.
Can Work Permit Cloud help with both the HR software and compliance advice?
Yes. Work Permit Cloud provides an integrated compliance service: our WpcHR software for day-to-day record management, our Sponsorship Duties advisory service to ensure your team fully understands their obligations, and our Home Office Compliance Audit preparation to get your systems ready for inspection. We have helped over 1,000 organisations achieve and maintain sponsor licence compliance.
Where can I read the official Home Office sponsor duties guidance?
The full sponsor duties framework is set out in Workers and Temporary Workers: Guidance for Sponsors Part 3 on GOV.UK. You can also use the Check a job applicant's right to work online service and the Sponsor Management System (SMS) for day-to-day compliance tasks.
